Fall Conference 2026 Sponsor Logo and Trademark Use Authorization

This Sponsor Logo and Trademark Use Authorization (the “Authorization”) governs the use of names, trade names, logos, trademarks, service marks, slogans, brand graphics, advertisements, and related materials submitted during or after sponsorship registration (“Sponsor Marks”). “AFHC” means the Adult Family Home Council of Washington State. “Sponsor” means the organization identified during registration and checkout.
By checking the acceptance box and submitting a sponsorship registration, Sponsor accepts this Authorization, and the person completing the registration confirms that they are authorized to grant these permissions on Sponsor’s behalf.
- Permission Granted
Sponsor grants AFHC a nonexclusive, royalty-free, worldwide license to reproduce, display, publish, distribute, and otherwise use the Sponsor Marks solely to identify and acknowledge Sponsor’s support of the Conference and to fulfill the sponsorship benefits selected during registration.
- Permitted Uses
AFHC may use Sponsor Marks in or on:
- Conference websites, registration pages, mobile applications, and digital platforms;
- Email communications, electronic newsletters, and social-media posts;
- Conference programs, agendas, presentation slides, advertisements, signs, banners, displays, badges, and other printed or digital materials;
- Press releases, sponsor announcements, media materials, and post-event recognition;
- Conference photographs, recordings, recap materials, reports, and archival pages in which sponsor recognition appears; and
- Materials produced by AFHC employees, contractors, printers, platform providers, venue partners, and other vendors acting on AFHC’s behalf.
- Production Adjustments
- AFHC may resize, crop surrounding blank space, convert file formats, adjust resolution, place Sponsor Marks on light or dark backgrounds, or use an approved one-color, grayscale, or reversed version as reasonably necessary for production.
- AFHC will not intentionally distort, materially redraw, animate, combine, or alter the substantive design of Sponsor Marks except as permitted by Sponsor’s submitted brand guidelines or later written approval.
- AFHC is not required to obtain advance approval for each use when the use is consistent with this Authorization and brand guidelines received before the applicable production deadline.
- If AFHC requests approval of a proof and Sponsor does not respond by the stated production deadline, AFHC may treat the proof as approved or omit the affected benefit.
- Sponsor Submissions and Brand Instructions
- Sponsor will provide its approved public display name, website URL, current high-resolution logo files, and any applicable brand guidelines by AFHC’s deadline.
- Sponsor is responsible for identifying required trademark symbols, minimum sizes, clear-space rules, color restrictions, prohibited backgrounds, or other mandatory usage requirements.
- If Sponsor does not provide brand instructions before the deadline, AFHC may use the submitted Sponsor Marks in a commercially reasonable manner consistent with this Authorization.
- Term and Archival Use
- This Authorization begins when Sponsor accepts it and continues through December 31, 2026, unless extended in writing.
- After the active term, AFHC may retain and display previously published Conference records, photographs, recordings, programs, recap pages, sponsor lists, and other archival materials containing Sponsor Marks.
- AFHC is not required to recall, destroy, or alter materials already printed, distributed, published, recorded, contractually committed, or archived.
- AFHC will not use Sponsor Marks to imply sponsorship of a future event or unrelated activity without separate authorization.
- Sponsor Representations
Sponsor represents and warrants that:
- Sponsor owns the Sponsor Marks or has full authority to grant the permissions stated in this Authorization.
- AFHC’s authorized use of the Sponsor Marks will not infringe, misappropriate, or violate another party’s copyright, trademark, privacy, publicity, contractual, or other rights.
- The public name, URL, tagline, logo files, advertisements, and other materials submitted by Sponsor are accurate and lawful.
- The person accepting this Authorization is authorized to bind Sponsor.
- Ownership
- Sponsor retains all ownership rights in Sponsor Marks. This Authorization grants AFHC a limited license and does not transfer ownership.
- AFHC retains ownership of its own names, logos, Conference branding, layouts, photographs, recordings, and materials, subject to Sponsor’s ownership of Sponsor Marks appearing within them.
- AFHC will not register or claim ownership of Sponsor Marks or use them as part of AFHC’s legal or trade name.
- No Endorsement or Partnership
Use of Sponsor Marks identifies Sponsor as a supporter of the Conference. It does not create an endorsement, certification, partnership, joint venture, agency, franchise, or employment relationship between Sponsor and AFHC. Neither party may state or imply otherwise.
- Corrections and Withdrawal
- Sponsor must promptly notify AFHC if a submitted Sponsor Mark is incorrect, outdated, or unauthorized and must provide a replacement file.
- AFHC will use commercially reasonable efforts to correct future uses and editable digital materials after receiving replacement materials.
- Sponsor may withdraw permission for future use by written notice, subject to the Sponsorship Terms and Conditions. Withdrawal does not require AFHC to recall or alter materials already produced, distributed, published, recorded, contractually committed, or archived.
- AFHC may discontinue or remove Sponsor Marks if AFHC reasonably believes continued use is unlawful, misleading, inconsistent with Sponsor’s status, harmful to AFHC, or contrary to Conference standards.
- Release and Indemnification
- Sponsor releases AFHC and its directors, officers, employees, contractors, agents, volunteers, printers, and platform providers from claims arising solely from uses of Sponsor Marks authorized by this Authorization, except to the extent caused by willful misconduct or a material use outside the scope of this Authorization.
- Sponsor will defend, indemnify, and hold harmless AFHC and its directors, officers, employees, contractors, agents, and volunteers from third-party claims, damages, liabilities, and reasonable legal expenses arising from an allegation that Sponsor Marks or other materials supplied by Sponsor infringe or violate another party’s rights, or from Sponsor’s breach of this Authorization.
- AFHC will promptly notify Sponsor of a covered claim and reasonably cooperate in the defense. Sponsor may control the defense but may not settle in a way that admits fault by, imposes obligations on, or fails to fully release AFHC without AFHC’s written approval.
- Relationship to Sponsorship Terms
This Authorization supplements the 2026 Fall Conference Sponsorship Terms and Conditions. If the documents conflict regarding use of Sponsor Marks, this Authorization controls. Other sponsorship matters remain governed by the Sponsorship Terms and Conditions and the selected package information.
- Governing Law and General Terms
- Washington law governs this Authorization.
- Any legal action must be brought in a state or federal court with jurisdiction in Thurston County, Washington.
- If a provision is unenforceable, it will be modified only to the minimum extent necessary, and the remaining provisions will remain in effect.
- Failure to enforce a provision is not a waiver.
- No additional royalty or compensation is owed for uses authorized by this Authorization. The sponsorship benefits are sufficient consideration for the permission granted.
- Electronic Acceptance and Records
Sponsor agrees that checking the acceptance box and submitting the registration constitutes Sponsor’s electronic acceptance of this Authorization. Sponsor consents to the use of electronic records for this transaction. AFHC may retain the registration information, order details, acceptance date and time, policy version, and related transaction records as evidence of the Authorization.
